Records Management Systems in Florianópolis: Functionality Analysis Based on the Requirements from e-ARQ Brazil

Technologies from modern society are developed and modified at a high pace. Consequently, several companies have been adopting digital systems and tools for records management. In that light, this paper focuses on evaluating records management systems in companies from Florianópolis, Brazil. This paper is a result of a Bachelor thesis in Archivology. A review on records management as well as the main features of electronic records management and archival management of electronic documents is presented. Also, the application importance of the requirements from e-ARQ Brazil in computerized record management systems is discussed. The presented investigation is essentially descriptive and presents qualitative and quantitative results. The investigation was performed in Florianópolis’ technology sector; specifically, five records management software companies were investigated. Data were collected based on interviews and questionnaires focused on requirements analysis of the system. Notice that this analysis covered only the most representative compulsory requirements considered by e-ARQ. In spite of that, the fourteen e-ARQ items related to the functionality of systems were accounted for in the analysis. The obtained results indicate that few companies acknowledge the e-ARQ as well as the Brazilian legislation on archives and record management. Moreover, it was observed that functionalities related to archival characteristics and principles are missing in most of the evaluated systems. Nonetheless, regarding information security and retrieval, the evaluated systems are well developed.
