The use of indexing and vocabulary control in archives: an investigation within the Brazilian State Public Archives

In the archival environment, one way to improve access to documents is to improve the information retrieval process. Among the possible perspectives to approach the issue of information retrieval, indexing occupies an important place, because it facilitates the retrieval of documents through the extraction of terms that operate as access points to their contents. Such terms, which function is to act as descriptors of document contents, may come from a controlled vocabulary that standardizes and facilitates the search for information. This article presents the results of a research that sought to analyze the use of indexation and vocabulary control in Brazilian state public archives. For that, was used as methodological procedure a case study, made possible through a questionnaire composed of opened and closed questions, sent to the Brazilian state public archives, used for the information gathering stage. This procedure allowed us to understand how the archives investigated address the theoretical and practical issues related to indexing and vocabulary control. The results point out that, in fact, the indexing process and the instruments of terminological control are still very incipient subjects in Brazilian archival practice, especially in public archives.
