Informational behavior of Ceará Federal University servers and its employees by using the Information Electronic System (SEI)

Resumo: | This research presents the informational behavior of the Information Electronic System (SEI), that have been at the Coordination of Administration and Patrimony (CAP), on the Federal University of Ceará (FUC). As a question point, it propounds: how the servers and contributors from CAP, on FUC, behave in the process of searching information provided on the Information Electronic System? It was established, as the general objective, to analyze the informational behavior of the users of the Coordination of Administration and Patrimony, on the Federal University of Ceará, on searching information at the SEI’s environment, according to the Information Search Process (ISP), by Carol Khulthau. We defined as specifics objectives: identify the needs of the servers and contributors that encourage the information searching; describe the information searching mode by means of the Information Search Process (ISP), created by Carol Kuhlthau; and point the servers and contributors’ difficulties by using the SEI. In order to achieve the established purposes, it was composed an exploratory and descriptive research, with quantitative and qualitative character, configuring a case study, whose the researching locus was the Coordination of Administration and Patrimony, with the servers and contributors, SEI users, being research samples. The sample was formed by 22 (twenty-two) servers and 3 (three) contributors. The instrument of data collect was the questionnaire, whose shipping was made by electronic mail. The Content Analysis was used to organization and interpretation of the collected data. Based on the methodological trajectory, we had these results: the servers and contributors’ needs of information are tied down to the intrinsic assignments to the sector that they execute their activities, so as the process related to their functional life. The content of the documents and the databases inserted on IES impel the users to use it on the process of information searching. The stages of this process evolve the beginning, the selection, the exploration, the formulation, the collect and the presentation specified on the ISP. This process brings feelings of optimism, when the servers and contributors find the information that they need, or frustration, in case of they didn’t make it. It was verified that the IES users has abilities to use the system. However, there are difficulties about the icons representation, the research environment and the functions of the profiles available to the contributors. These occasions possibly brings bad feelings that could influence the process of information search. We suggest, as a user training strategy, in order to overcome the present difficulties, the structuring of a basic course with content that include the management of administration public documents and the best practice on the use of the SEI. We conclude that when we noticed the information needs, the servers and contributors from CAP was motivated to begin the process of search on SEI, passing by the ISP’s stages and domains. In this process, we can notice the difficulties of the users to use the system, doing well on their researches or not. |

Se presenta como una pregunta orientadora: ¿Cómo se comportan los servidores y colaboradores de UFC CAP en el proceso de búsqueda de información disponible en el Sistema de Información Electrónica? Fue establecido como un objetivo general para analizar el comportamiento informativo de los usuarios de la Administración y Coordinación del Patrimonio de la Universidad Federal de Ceará en busca de información en el entorno SEI a la luz del Proceso de Búsqueda de Información (ISP) de Carol Khulthau. Definimos como objetivos específicos: identificar las necesidades de los servidores y colaboradores que motivan la búsqueda de información; describa la forma en que se busca la información a través del Proceso de búsqueda de información (ISP) creado por Carol Kuhlthau; y señalar las dificultades de los servidores y colaboradores en el uso de SIE. Para lograr los propósitos establecidos, se realizó una investigación descriptiva y exploratoria de naturaleza cuantitativa y cualitativa, configurando un estudio de caso, cuyo lugar de investigación fue la Coordinación de Administración y Patrimonio, siendo los servidores y colaboradores que utilizan el SIE como muestra. de investigación La muestra consistió en 22 (veintidós) servidores y 3 (tres) empleados. El instrumento de recolección de datos fue el cuestionario, que se envió por dirección electrónica. El análisis de contenido se utilizó para la organización e interpretación de los datos recopilados. Con base en la ruta metodológica, obtuvimos los siguientes resultados: las necesidades de información de los empleados y los empleados están vinculadas a las atribuciones inherentes del sector en el que realizan sus actividades, así como a los procesos relacionados con la vida funcional. El contenido de los documentos y las bases de conocimiento insertadas en SIE lleva a los usuarios a usarlo en el proceso de búsqueda de información. Los pasos en este proceso implican el inicio, la selección, la exploración, la formulación, la recopilación y la presentación especificadas en el ISP. Este proceso genera sentimientos de optimismo cuando los empleados y empleados encuentran la información que necesitan, o frustración si no pueden obtenerla. Se descubrió que los usuarios de SIE tienen habilidades para usar el sistema, sin embargo, existen dificultades con respecto a la representación de iconos, el campo de búsqueda y las funciones de los perfiles puestos a disposición de los empleados. En este proceso se evidencian las dificultades de los usuarios en el uso del sistema, sean exitosas o no en su investigación.Trata do comportamento informacional dos usuários do Sistema Eletrônico de Informações (SEI) que estão lotados na Coordenadoria de Administração e Patrimônio (CAP) da Universidade Federal do Ceará (UFC). Apresenta como questão norteadora: Como os servidores e colaboradores da CAP da UFC se comportam no processo de busca de informação disponibilizada no Sistema Eletrônico de Informações? Foi estabelecido como objetivo geral analisar o comportamento informacional dos usuários da Coordenadoria de Administração e Patrimônio da Universidade Federal do Ceará na busca de informações no ambiente do SEI à luz do Information Search Process (ISP) de Carol Khulthau. Definimos como objetivos específicos: Identificar as necessidades dos servidores e colaboradores que motivam a busca de informação; descrever o modo de busca da informação por meio do Information Search Process (ISP) criado por Carol Kuhlthau; e apontar as dificuldades dos servidores e colaboradores no uso do SEI. A fim de alcançar os propósitos estabelecidos foi realizada uma pesquisa descritiva e exploratória de natureza quanti-qualitativa, configurando um estudo de caso, cujo lócus de pesquisa foi a Coordenadoria de Administração e Patrimônio, sendo os servidores e colaboradores que usam o SEI considerado como amostra da pesquisa. A amostra se constituiu por 22 (vinte e dois) servidores e 3 (três) colaboradores. O instrumento de coleta de dados foi o questionário, cujo envio se deu via endereço eletrônico. A Análise de Conteúdo foi utilizada para organização e interpretação dos dados coletados. Baseado no percurso metodológico, obtivemos os seguintes resultados: as necessidades de informação dos servidores e colaboradores estão atreladas às atribuições inerentes ao setor em que estes desenvolvem suas atividades, bem como, aos processos relacionados à vida funcional. O conteúdo dos documentos e as bases de conhecimento inseridas no SEI, impulsiona os usuários a usá-lo no processo de busca por informações. As etapas deste processo envolvem o início, a seleção, a exploração, a formulação, a coleta e a apresentação especificadas no ISP. Este processo gera sentimentos de otimismo, quando os servidores e colaboradores encontram a informação que necessita, ou frustração, caso não consigam obtê-la. Constatou-se que os usuários do SEI possuem habilidades para utilização do sistema, no entanto, existem dificuldades no tocante a representação dos ícones, ao campo de pesquisa e às funções dos perfis disponibilizados aos colaboradores. Esses reveses possivelmente geram sentimentos ruins que podem influenciar o processo de busca da informação. Sugerimos como estratégia de capacitação dos usuários, a fim de superar as dificuldades apresentadas, a estruturação de um curso básico com conteúdo que abarque a gestão de documentos administrativos públicos e as boas práticas de uso do SEI. Concluímos que ao perceber as necessidades de informação, os servidores e colaboradores da CAP são motivados a iniciar o processo de busca no SEI, perpassando as etapas e domínios do ISP.
