Resumo: The modeling of organizational processes helps to understand, disseminate and identify points of improvement that can provide greater efficiency and savings in the use of the resources necessary for their execution. However, several organizations are unaware of the importance of documenting and making their organizational processes available. The difficulties in determining how these processes should be performed directly impact the organization’s performance. The departmental heads of the Federal University of Sergipe (UFS), elected for a two-year term, also face difficulties in knowing the processes under their responsibility. The information for executing these processes is made available through resolutions published by the institution and manuals for using the Management Information System (GIS), usually in a non-integrated manner. This makes it difficult for departmental heads to access and understand these processes. In this context, this work proposes the modeling, integration of documents and making available 18 processes of the departmental heads of UFS. The modeling of the processes was carried out through interviews with departmental heads and reading of the resolutions that standardize these processes. The Business Process Management Notation (BPMN) was used to model the identified processes. Additionally, a Website was created to integrate the created models, resolutions and GIS manuals associated with each process. An evaluation of the processes and the tool created for publishing the modeled processes was carried out. In total, 8 respondents evaluated the processes and the website. The results showed that 50% are administrative technicians, 33% are teachers and 17% of respondents are departmental heads. Most respondents had five (5) to ten (10) years of experience in the institution with the processes. Still, according to our statistical evaluation, the modeled processes had an average agreement of 50% between the interviewees and the website (tool) was considered easy to use, useful and with intention of use by the interviewees.

Entretanto, várias organizações desconhecem a importância da documentação e disponibilização dos seus processos organizacionais. As dificuldades para determinar como esses processos devem ser executados impactam diretamente o desempenho da organização. As chefias departamentais da Universidade Federal de Sergipe (UFS), eleitas com mandato de dois anos, também passam por dificuldades para conhecer os processos organizacionais sob sua responsabilidade. A informação para execução desses processos é disponibilizada através de resoluções publicadas pela instituição e manuais de utilização do Sistema de Informações Gerenciais (SIG) normalmente de forma não integrada. Isso dificulta o acesso e entendimento destes processos pelas chefias departamentais. Nesse contexto, este trabalho propõe a modelagem, integração de documentos e disponibilização de 18 processos das chefias departamentais da UFS. A modelagem dos processos foi realizada a partir de entrevistas com as chefias departamentais e leitura das resoluções que normatizam esses processos. Para modelar os processos identificados foi utilizada a notação Business Process Management Notation (BPMN). Adicionalmente, foi criado um site (ferramenta) para integrar os modelos criados, resoluções e manuais do SIG associadas a cada processo. Foi realizada uma avaliação dos processos e da ferramenta criada para publicação dos processos modelados. No total, 8 entrevistados avaliaram os processos e o site. Os resultados mostraram uma concordância média de 50% entre os entrevistados. Também foi realizada a avaliação do site (ferramenta) criado para disponibilização dos processos.
