Manufacture of a final document management manual for a health institution: the case of the Instituto Evandro Chagas

This paper presents the actions performed in the elaboration of the Management Manual of the finalistic documents of the Evandro Chagas Institute - IEC. In 2013, during the structuring period of the SEARQ Archive Sector, the need for archival processing of documents produced and received by the Institute was realized, but it did not have a Management Manual that included the Classification Plan and the Table of Temporality concerning their final documents. Given this scenario, in 2017, the activities for the elaboration of the document management instruments began, having as a subsidy the methodology suggested by the Manual entitled “Como elaborar Plano de Classificação e Tabela de Temporalidade de Documentos: atividades-fim” of the State Archive of São Paulo (2005). Among the main actions, we highlight the documentary survey carried out in all IEC units that included research, health surveillance and / or teaching activities (finalistic) in order to understand the context of production and the flow of these documents. The article presents the results of the study conducted before and during the documentary survey by presenting the functions and activities of the IEC and their relationship with the documents produced, as well as their materialization in the proposed management instrument.
