Analysis of the archival diffusion procedures used in brazilian state archives

Resumo: The Brazilian state archives gather in their collections documents produced and received in carrying out the activities of the state public administration. Such documentary sets are considered public documents, therefore they must be made available to society. In turn, diffusion is one of the archival functions, which involves methods capable of disseminating the content of collections to the public. From this perspective, archival dissemination must be considered essential in the institutions that maintain these public documents. Taking this into account, this research sought to analyze which diffusion procedures are being carried out by Brazilian state archives. Subsequently, a data collection instrument was developed using a form, which made it possible to detect which actions and forms of dissemination are implemented by these institutions. As a result, it could be observed that, among the institutions that responded to the form and the responses analyzed, there are indeed different diffusion activities being carried out, the most used actions are the cultural diffusion actions. In addition, there are plans for the implementation of other future actions. In general, the concern of state institutions towards their users and the diffusion of the collection they preserve is notorious.

Dichos conjuntos documentales tienen la consideración de documentos públicos, por lo que deben ponerse a disposición de la sociedad. A su vez, la difusión es una de las funciones archivísticas, que involucra métodos capaces de difundir al público los contenidos de las colecciones. Desde esta perspectiva, la difusión archivística debe considerarse esencial en las instituciones que mantienen estos documentos públicos. Teniendo esto en cuenta, esta investigación buscó analizar qué procedimientos de difusión están llevando a cabo los archivos estatales brasileños. Para ello, inicialmente se realizó un mapeo de las instituciones estatales existentes en el país. Posteriormente, se desarrolló un instrumento de recolección de datos mediante un formulario, que permitió detectar qué acciones y formas de difusión implementan estas instituciones. Como resultado, se observó que, entre las instituciones que respondieron al formulario y las respuestas analizadas, se llevan a cabo diferentes actividades de difusión, las acciones más utilizadas son las acciones de difusión cultural. Además, existe planificación para la implementación de otras acciones futuras. En general, es notable la preocupación de las instituciones estatales hacia sus usuarios y la difusión de la colección que mantienen.Os arquivos estaduais brasileiros reúnem em seus acervos documentos produzidos e recebidos na realização das atividades da administração pública estadual. Tais conjuntos documentais são considerados documentos públicos, portanto devem ser disponibilizados para a sociedade. Por sua vez, a difusão é uma das funções arquivísticas, que envolve métodos capazes de divulgar o conteúdo dos acervos ao público. Sob essa perspectiva, a difusão arquivística deve ser considerada como primordial nas instituições que mantém estes documentos públicos. Levando isto em consideração, esta pesquisa buscou analisar quais os procedimentos de difusão estão sendo executados pelos arquivos estaduais brasileiros, para tanto, inicialmente foi realizado o mapeamento das instituições estaduais existentes no país. Posteriormente, elaborou-se um instrumento de coleta de dados que foi utilizado um formulário, o qual possibilitou detectar quais ações e formas de difusão são implementadas por estas instituições. Como resultado pôde-se observar que, dentre as instituições que responderam ao formulário e as respostas analisadas, há sim diferentes atividades de difusão sendo realizadas, as ações mais utilizadas estão as ações de difusão cultural. Além disso, há planejamento para a implantação de outras ações futuras.
